We are seeking a highly organized and proactive Executive Administrative Assistant to provide crucial support to our CEO. Job Overview:

The Executive Administrative Assistant will work closely with our CEO to ensure seamless event planning and execution. This role requires exceptional organizational skills, attention to detail, and the ability to multitask under pressure. You will handle administrative tasks, coordinate logistics, and support event operations while maintaining clear communication with vendors, clients, and team members.

Key Responsibilities:

Administrative Support: Manage emails, calendars, and schedules for the CEO, ensuring all appointments, meetings, and deadlines are met.

Event Coordination Assistance: Help plan and execute events, including venue bookings, and vendor coordination.

Marketing & Promotions Assistance: Support with social media, event listings, and promotional materials as needed. Plus if you're experience with social media such as TikTok, Instagram, Facebook. etc.

Client & Vendor Communication: Act as a liaison between vendors, clients, and internal teams to ensure smooth event operations.

Document Management: Prepare contracts, proposals, invoices, and other event-related documents.

On-Site Support: Assist with event setup, check-ins, and troubleshooting on the day of events with the venue's general manager.

Travel & Logistics: Arrange travel, accommodations, and itineraries for event staff and talent.

Qualifications:
2+ years of experience in an administrative or event support role (experience in event coordination is a plus).

Strong organizational and multitasking skills, with the ability to work under tight deadlines.
Excellent written and verbal communication skills.

Proficiency in Microsoft Office, Google Suite, and event management software (e.g., Eventbrite, Hoote Suite, etc).

Ability to handle sensitive information with discretion.

A proactive, problem-solving mindset with a keen attention to detail.
Flexibility to work evenings, weekends, and event days as needed.

Passion for the events industry and a strong customer service orientation is a plus.
